Personal Information

Collection

viola collects the following pieces of personal information about you: (1) User account. If you register as a user, an account is created of you which may contain your full name, username, email address, professional background, and timestamp (date and time) for creation of the user. Furthermore, a timestamp (date and time) is collected for the latest sign-in. (2) Exercise and test answers. If you have access to a course with exercises and tests, you can submit answers to these exercises and tests. These answers are collected and tied to your user account. (3) Course progress. If you have access to a course, your progress will be tracked and collected. (4) Certificates. If you are issued a certificate it is necessary to use your full name on the certificate. This happens for each certificate, where your name is only stored in the generated PDF file. If your full name is required for a course, it is stored with your user account. The information is stored in a secure internal database, where it will only be stored as long as there is a legitimate justification for this.

Processing

viola processes your collected personal information as follows: (1) Your full name is used to identify you in courses, which requires this. The username and email address both provide access to the the platform. The username allows you to set a name that is accessible to expert users, so that you can be identified during course training. The email address allows you to gain access to courses, as well as regain access to the platform if you forget your password. The email address must be confirmed to ensure that your account is only accessible by you. The creation and last sign-in timestamps (date and time) are used to facilitate the process of removing user accounts. If you provide a professional background it can be used by expert users to segment your answers for exercises and tests based on expected skill level. (2) The exercise and test answers allow both you and expert users to see your results as you go through courses. Expert users use the answers to direct your course training by addressing problem areas as well as verifying and grading tests. The answers may also be used internally to train a neural network specifically with answers containing image markings. (3) The progress allows you to see completed course materials and your results from these course materials. (4) Issued certificates (PDF) require your full name to make them useful. Your full name is not used in any other place unless it is required by a course. If you want to complain about how the data is collected, stored and/or processed, you can either contact the data responsible organisations or Datatilsynet at https://www.datatilsynet.dk/.
